Job Description This is a part time position, of 15-25 hours per week.
Not likely to turn into a full time position.
Work experience: at least 2 years of administrative assistance experience required; and 1 year of medical insurance billing requested.
We are a thriving and busy insurance-based trauma-informed psychotherapy practice in Johnson City.

Your job responsibilities will include both client care and business care.
Client and Clinician care: You will be the insurance liaison between the clinician and our insurance contracts, tracking payments, and updating billing information for clinicians.
Also, you'll be creating, sending, and collecting unpaid invoices for clients and handling schedule changes and info updates as needed.
Business care: Marketing and Filing insurance and fixing inaccuracies in insurance claims is the most time consuming part of this position - this requires a keen eye for detail and a passion for rightness and value in justice.
Also, you will be responsible for data tracking, light cleaning, keeping our office tidy and well stocked with necessities, and completing all of the fax/scan/print work for our therapists.
We need a highly motivated, creative problem solver with a warm presence.
As therapists, we are notoriously inefficient at paperwork.
You will help us be more efficient so we can give effective and focused care to our clients.
Skills: high proficiency in technology.
We are a 100% paperless office, with all billing and documentation and communications completed in secure software programs and an easy to use EHR.
Your comfort level with technology will make this job rewarding and fun.
Basic computer skills: Word, Excel, and Google GSuite are a must.
Editing websites through SquareSpace would be helpful.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
If you have previous experience as a Secretary or Executive administrative assistant and familiarity within the health profession or the insurance industry, we’d like to meet you.
Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
*Responsibilities* * Crosstrain with Office Manager to step in as needed for client care: answering phone calls, scheduling appointments, making referrals, etc * Write and distribute email, correspondence memos, letters, faxes and forms * Assist in the preparation of regularly scheduled reports * Develop and maintain a filing system * Keep intake and client paperwork stocked and ready for clinician use * Update and maintain office policies and procedures * Order office supplies and research new deals and suppliers * Light office cleaning weekly * Maintain contact lists and send correspondence regularly * Send client paperwork in a timely manner, and follow up for completion * Send out monthly invoices and manage collections accounts * Check insurance benefits and call to reconcile unpaid claims * Submit and reconcile expense reports * Provide general support to clients * Website and social media updates as needed *Skills* * Proven experience as an administrative assistant or office admin assistant * Knowledge of office management systems and procedures * Working knowledge of office equipment, like printers and virtual fax machines * Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) * Proficiency in SquareSpace and social media management * Excellent time management skills and the ability to prioritize work * Attention to detail and problem solving skills * Excellent written and verbal communication skills * Strong organizational skills with the ability to multi-task * High School degree; Some college or higher education preferred.
Additional qualification as an Administrative assistant or Secretary will be a plus You MUST complete the assessment portions of the application and send a cover letter in order to be considered.
